Registration

Yes, all ASCPT 2018 Annual Meeting attendees and exhibitors MUST be registered for the meeting, including Pre-conferences, and MUST wear their meeting badge for access to all sessions, including the exhibit and poster hall, and social events. You will not be permitted access without your badge.

Prior to the meeting
The quickest way to register is online at https://www.ascpt.org/Meetings/Annual-Meeting/Registration. Registrants can even register online from their hotel room. Please note it may take a few minutes for the registration to process. All are encouraged to register online to bypass the on-site registration line in the Orlando Ballroom Foyer.

On-Site Registration
Stop by the registration desk located in the Orlando Ballroom Foyer to register on-site. Credit cards (Visa, MasterCard, Amex) and cash (USD) will be accepted on-site. Checks will not be accepted.

Note: Registrants wishing to make adjustments to their previously completed online registration need to stop by the registration desk in the Orlando Ballroom Foyer.

All additional activities are still open for registration except Speed Mentoring, which is sold out. ASCPT reserves the right to close registration for any event once the maximum capacity for the session has been reached.

Registrants at the Social rate may not attend educational sessions. Social registrants may attend the Opening Session and President's Reception. Social registrations are reserved for guests of registered attendees only.

Review the ASCPT Cancellation and Substitution Policy. All cancellations MUST be submitted in writing. Cancellations received after Wednesday, January 31, 2018, 4:00 pm Eastern Time, will not be issued refunds. Refunds will not be issued for no-shows. 

If the event is cancelled or there are circumstances beyond ASCPT’s control, ASCPT is not responsible for any airfare, hotel, or other costs incurred by registrants. If registrants are unable to attend the event due to travel-related emergencies, including flight cancellations and weather, ASCPT will not refund registration fees.

Prior to the Meeting
If you are unable to attend the meeting, a substitute from your organization may attend in your place. ASCPT reserves the right to charge any appropriate difference in registration fees. Requests for substitutions must be submitted in writing and sent to meetings@ascpt.org.

To complete your request for substitution, please provide first name, last name, email, phone number, emergency contact name and number, and any special needs. If an ASCPT member transfers his/her registration to a non-member, the non-member must either submit a completed application to ASCPT to become a member at the time of substitution or pay the difference between the ASCPT member and non-member fee at the time of substitution.

On-Site
Stop by the registration desk located in the Orlando Ballroom Foyer to adjust your registration.

Receipts are sent via email within 24 hours. If you do not receive an email within 24 hours, please email meetings@ascpt.org. On-site, please stop by the registration desk located in the Orlando Ballroom Foyer.

The ASCPT 2018 Annual Meeting mobile app includes an attendee list and attendee-to-attendee communication for those who opt in.

Exhibitor Requests: A complimentary pre-show mailing list has been sent to the exhibitor’s main contact prior to the Annual Meeting. It does not include emails per ASCPT Board of Directors policy and is granted as a one-time use only list.

The post-show mailing list is available for exhibitor purchase after the meeting and must be requested in writing by emailing lisa@ascpt.org.

Hotel

The hotel reservation deadline was Friday, February 23, 2018. The ASCPT block is no longer available at the Hilton Orlando, but reservations are being taken based on availability and may not be at the special ASCPT Annual Meeting rate. No, ASCPT does not provide local transportation to and from the airport. Additional information about transportation services and hotel parking is online at https://www.ascpt.org/Meetings/Annual-Meeting/Hotel-and-Travel-Information.

ASCPT is providing shuttle buses to take attendees to and from Pointe Orlando, a nearby Entertainment and restaurant venue, on Thursday and Friday evenings from 6:00 PM to 11:00 PM. Bus departures will be at the Group Arrival area between David’s Restaurant and the Marketplace. Take the escalators to the lower level to board the bus.

No, ASCPT does not provide childcare or spouse programs. The ASCPT Annual Meeting is geared toward adult participation. For their safety, children under the age of 16 are not permitted to attend any portion of the Annual Meeting, including but not limited to, educational sessions, networking and social events, and the exhibit hall.

The concierge at the Hilton Orlando is adept at making arrangements for childcare, dining reservations, excursion reservations, providing shopping and transportation information, and answering general questions about local attractions.

Neither ASCPT nor the Hilton Orlando are affiliated with the babysitting agencies provided, and as such are not responsible for the services rendered.

The fees for babysitting services vary by vendor and holiday rates may also apply. Direct payment is required to the vendor. No room charges or master billing for babysitting services are permitted.

Programming

ASCPT will provide each attendee three total $25 lunch vouchers for use on Thursday, Friday, and Saturday. Vouchers may be used for box lunches in the Exhibit Hall or at select food vendors in the hotel including David’s Restaurant, The Bistro, Tropics Pool Bar & Grill, Lobby Bar, and Marketplace on Thursday and Friday. Lunch will only be available within the hotel food vendors on Saturday. Vouchers include tax and gratuity but may not be used toward the purchase of alcohol. ASCPT will not be providing box lunches on Saturday and food vouchers should be used within the food vendors at the Hilton Orlando.

Vegetarian options are available for all meals, but Hilton Orlando’s kitchens are not certified for Kosher or Halal meals. These can be provided from an outside caterer upon request, at the attendee’s expense, but require orders to be placed at least 72 hours in advance. Poster Presentations

The primary author is designated as the presenter. If for any reason the presenter is unable to attend the meeting, a substitution can be made, provided that person is already listed as an author on the abstract. The replacement presenter must be registered for the Annual Meeting. To make a substitution, please email Liza Avruch, Senior Education and Meetings Coordinator, at liza@ascpt.org.

Author names cannot be added or removed from the abstract once it has been submitted, reviewed, and/or selected for presentation.

Only the primary author may withdraw an accepted or submitted abstract with consent of all authors. Requests for withdrawals must be in writing to Liza Avruch, Senior Education and Meetings Coordinator, at liza@ascpt.org. If the abstract is withdrawn before the Final Program is printed, it will not appear in the Final Program. If the abstract is withdrawn after the Final Program is printed, the withdrawal will be reflected in the mobile app as well as the online March Supplement to Clinical Pharmacology & Therapeutics.

ASCPT is not responsible for shipping and handling of posters to and from the meeting. Shipping should be handled by the presenter.

Efforts will be taken to update the 2018 Annual Meeting mobile app with any speaker changes.

Please go to the Speaker Ready Room on-site at the Hilton Orlando in room Key West D at least 4 hours prior to the start of your scheduled presentation. The A/V staff will be able to assist you and you can review and revise your slides in advance of your session.

Exhibitors

Yes, you must register to have access to the exhibit hall. For security reasons, all attendees and exhibitors must wear their badge at all times for admission to sessions, posters, exhibits, and social events. If you represent an outside contractor hired by an exhibitor, you are still required to check-in and out at the onsite registration desk.

Yes, exhibitors should be present by 4:00 PM and until 6:30 PM on Wednesday, March 21, 2018. Exhibitors should plan to staff their booths during all posted Exhibit Hall hours.

Email marketing options are available for purchase through our only approved vendor, Event Technologies.

ASCPT 2018 Annual Meeting Online Evaluation

The evaluation will be available through the Annual Meeting mobile app and is available March 21, - April 20, 2018.

Please complete the ASCPT 2018 Annual Meeting evaluation via the Annual Meeting mobile app. The evaluation will also be available at www.ascpt.org following the Annual Meeting. Upon completion of the online evaluation, you will receive a Certificate of Attendance.

Upon completion of the online evaluation, you will receive a Certificate of Attendance. With this Certificate of Attendance, you will be entered into a drawing for a complimentary registration to the ASCPT 2019 Annual Meeting in Washington, DC on March 13 – 16, 2019. In order to enter your name in the drawing for a complimentary registration to the ASCPT 2019 Annual Meeting, you must complete the evaluation.

The Scientific Awards Nomination deadline is Thursday, May 31, 2018. If you have questions regarding 2019 nominations, please have them contact Carly Harrington at carly@ascpt.org or Liza Avruch at liza@ascpt.org.

The 2019 Call for Symposium, Workshop, Roundtable/Novel Format, and Science at Sunrise Session Proposals deadline is Friday, June 1, 2018. Information will be provided via email and at www.ascpt.org when the proposal submission site opens. If you receive questions regarding proposal submissions, please have them contact Carly Harrington at carly@ascpt.org or Liza Avruch at liza@ascpt.org.

Please go on the ASCPT website and submit your intent here: https://www.ascpt.org/Member-Services/Member-Tools/Get-Involved. The requests are reviewed annually with the incoming President to make their appointments, so members are encouraged to update their intent to volunteer on a yearly basis.
