The ASCPT 2025 Annual Meeting cancellation deadline is Friday, March 3, 2025 . All cancellation, substitution, or payment change requests must be submitted in writing to meetings@ascpt.org.

ASCPT CANCELLATION POLICY
Cancellation requests received after March 3, 2025, will not be issued refunds. All cancellations will be assessed an administrative fee of $75 for full conference registrations and $25 for Student/Trainees. Post-conference cancellation will be assessed a $25 administration fee.

If the event is cancelled or there are circumstances beyond ASCPT’s control, ASCPT will not refund registration fees or issue credits for future meetings.

Refunds will be made in US dollar amounts and issued via the original method of payment (i.e., credit card or check). The credit card must be the exact card used to make the original charge. If the original payment falls outside the 90-day window to refund to the original credit card used, the refund will be made by check. If a check cannot be accepted and a wire transfer is needed, a wire transfer processing fee of $100 will be assessed.

SUBSTITUTION POLICY
If you are unable to attend the 2025 Annual Meeting, a substitute from your organization may attend in your place. ASCPT reserves the right to charge any appropriate difference in registration fees.

If an ASCPT member transfers their registration to a non-member, the non-member must either submit a completed application to ASCPT to become a member at the time of substitution OR pay the difference between the ASCPT member and non-member fee at the time of substitution.

PAYMENT CHANGES POLICY
Changes in payment method made after the transaction has taken place will be assessed a $75 processing fee per transaction.

The Gaylord is accessible through multiple airports:
  • Ronald Reagan Washington National Airport (DCA) is approximately 8 miles/25 minutes from The Gaylord National.
  • Washington Dulles International Airport (IAD) is approximately 35 miles/35 minutes from The Gaylord National.
  • Baltimore/Washington International Thurgood Marshall Airport (BWI) is approximately 48 miles/60 minutes from The Gaylord National.
Rental cars, taxis, and ride-share services are available from the airport.

ASCPT can provide an official letter of invitation for international attendees after registration for the ASCPT 2025 Annual Meeting is complete. Please email meetings@ascpt.org to request a letter.

Please note that ASCPT cannot communicate and/or intervene with either the US Embassy abroad or with the US State Department on behalf of any participant.

Interested in ICW Opportunities at ASCPT 2025?
Organizations, corporations, educational institutions, individuals, and other entities wishing to hold a meeting or event that is related to clinical pharmacology or translational science and/or includes ASCPT Annual Meeting attendees and takes place anywhere within National Harbor, Maryland between Tuesday, May 27 – Saturday, May 31, 2025, must apply for an ICW meeting/event and comply with ASCPT ICW guidelines.

All proposed events must be submitted to and approved by ASCPT before any arrangements being made for the ICW, including reserving space within the host hotel, Gaylord National.
