ASCPT Annual Meeting COVID-19 Policies

ASCPT 2023 Annual Meeting

To safeguard the health and safety of all who attend ASCPT 2023 in-person, ASCPT will comply with federal, state, and local-issued health and safety precautions, including the Centers for Disease Control’s (CDC) Guidance for Events, as an integral part of the execution of the onsite Annual Meeting. These guidelines are constantly evolving, and ASCPT will make reasonable efforts to ensure all registered attendees are informed of the final health and safety requirements and precautions that will be implemented onsite closer to the first day of the event.

While we have followed the guidelines to reduce the spread of COVID-19, and other communicable diseases, we cannot guarantee that attendees will not become infected with COVID-19 or other communicable diseases. Attending ASCPT 2023 could increase the risk of contracting COVID-19 or other communicable diseases. By registering and attending ASCPT 2023 in person, you acknowledge that you may be exposed to or infected with COVID-19 or other communicable diseases; that if you are infected, you may infect others; and that contracting COVID-19 or other communicable diseases may result in personal injury, illness, permanent disability, or even death, both to yourself and to others with whom you may come in contact or whom you may infect if you become a carrier or transmitter of the virus.

You understand the risks of becoming exposed to or infected by COVID-19 or other communicable diseases at the event may result from the actions, omissions, or negligence of yourself and others including the event venue, ASCPT, their employees, contractors, agents, vendors, and sponsors. You accept sole responsibility for this risk and agree to hold the event venue, ASCPT, and their representatives harmless for any injury to yourself, (including, but not limited to, personal injury, disability, and death) or others as a result even concerning such indemnified parties’ negligence.

As part of entry to ASCPT 2023, all attendees, staff, guests, vendors, and sponsors will be required to show proof of being fully vaccinated and up-to-date on booster vaccines.* All attendees will upload their information to the CrowdPass App, (such as a printed or digital vaccination card and a valid form of ID) in advance of the meeting. No attendee will be provided onsite meeting materials prior to completing the necessary proof of vaccination. ASCPT, as a private event host, can and will set additional guidelines as needed. By agreeing to this policy, you agree to register any guests and ensure that they are fully aware of this policy.

ASCPT Attendee/Sponsor/Staff/Guests/Vendor Expectations
ASCPT meeting attendees, sponsors, staff, guests, and vendors agree during registration, if you are feeling sick or experiencing COVID-like symptoms prior to traveling to or while onsite at the Annual Meeting, you will remain isolated in your room and connect to the meeting online. If you need assistance transferring your registration, please contact meetings@ascpt.org. The ASCPT Registration Cancellation Policy will apply.

We strongly recommend taking a COVID-19 test before you depart for the Meeting and upon returning home. The responsibility for scheduling and paying for the tests is on the individual. Atlanta Hyatt Hotel Cleaning Policies: The Atlanta Hyatt Regency will have a  specific health and safety protocol available on their website. The Hyatt Global Care & Cleanliness Commitment is noted on the hotel’s website. If you do not see this information on the website, please contact the hotel directly.


ASCPT Policy on COVID Vaccination
All participants at in-person ASCPT Meetings, Workshops, etc. whether a presenter, attendee, sponsor, staff, guest, or vendor, will be required to be fully vaccinated, with proof of full primary vaccination with a vaccine approved for use by the World Health Organization AND proof of booster vaccination if the individual is eligible to receive a booster prior to the Annual Meeting as recommended by the CDC.

Therefore, we will be closing registration one week prior to the Annual Meeting to allow time verify vaccination status of all in-person registrants.

All attendees, sponsors, staff, guests, and vendors will be required to upload their vaccine certificate to a third-party site no later than one week prior to the Annual Meeting. Failure to do so may result in your registration being cancelled. The ASCPT Registration Cancellation Policy will apply.

Attendees who wish to register onsite will need to have their proof of vaccination reviewed in-person by CrowdPass at the ASCPT Registration Area at the Hyatt Regency Atlanta.

ASCPT Policy on Masking
All participants at in-person ASCPT Meetings, Workshops, etc., will be required to wear a mask, except when presenting, eating, or drinking. Masks will be required regardless of the Atlanta mask mandate being lifted to protect our attendees, sponsors, staff, guests, and vendors. Masks will be available at the registration desk. ASCPT security will be enforcing the masking policy

ASCPT Policy on COVID Waivers
All participants at in-person ASCPT Meetings, Workshops, etc. whether a presenter, attendee, sponsor, staff, guest, or vendor, will be required to sign a waiver assuming personal liability for attending an ASCPT event. Individuals who do not sign the waiver will not be allowed to attend the Annual Meeting and registration fees will not be refunded.

*CDC recommends COVID-19 primary series vaccines for everyone ages 6 months and older, and COVID-19 boosters for everyone ages 5 years and older.
