Frequently Asked Questions

Registration

Yes, all ASCPT 2020 Annual Meeting attendees and exhibitors MUST be registered for the meeting, including Pre-conferences, and MUST wear their meeting badge for access to all sessions, including the exhibit and poster hall, and social events. You will not be permitted access without your badge

Prior to the meeting
The quickest way to register is online at 
https://www.ascpt.org/Meetings/Annual-Meeting/Registration. Registrants can even register online from their hotel room. Please note it may take a few minutes for the registration to process. All are encouraged to register online to bypass the on-site registration line at the Houston Marriott Marquis.

On-Site Registration
Stop by the registration desk located in the Houston Marriott Marquis to register on-site. Credit cards (Visa, MasterCard, Amex) and cash (USD) will be accepted on-site. Checks will not be accepted.

Note: Registrants wishing to modify their previously completed online registration need to stop by the registration desk in the Houston Marriott Marquis.

Social registrations are reserved for guests of registered attendees only

The Society asks for your patience and understanding as we find our way through this unfortunate situation. To assist ASCPT in navigating claims with insurers and vendors, we implore anyone who was required to cancel registration based on organizational travel restriction or ban, or physician recommendation, to contact meetings@ascpt.org with details.

Registrants are responsible for cancelling their hotel reservations and travel arrangements. If the event is cancelled or there are circumstances beyond ASCPT’s control, such as weather, ASCPT is not responsible for any airfare, hotel, or other costs incurred by registrants.

Yes. Please review the ASCPT Cancellation and Substitution Policy.

Prior to the Meeting
If you are unable to attend the meeting, a substitute from your organization may attend in your place. ASCPT reserves the right to charge any appropriate difference in registration fees. Requests for substitutions must be submitted in writing and sent to meetings@ascpt.org.

To complete your request for substitution, please provide first name, last name, email, phone number, emergency contact name and number, and any special needs. If an ASCPT member transfers his/her registration to a non-member, the non-member must either submit a completed application to ASCPT to become a member at the time of substitution or pay the difference between the ASCPT member and non-member fee at the time of substitution.

On-Site
Stop by the registration desk located in the Orlando Ballroom Foyer to adjust your registration.

Receipts are sent via email within 24 hours. If you do not receive an email within 24 hours, please email meetings@ascpt.org. On-site, please stop by the registration desk located in the Houston Marriott Marquis.

ASCPT does not distribute an attendee list prior to the meeting. Attendees will be visible in the Mobile App on-site.

Exhibitor Requests: A complimentary pre-show mailing list has been sent to the exhibitor’s main contact prior to the Annual Meeting. It does not include emails per ASCPT Board of Directors policy and is granted as a one-time use only list.

Hotel

The hotel reservation deadline is Monday, February 24, 2020. The ASCPT block is currently available at the Houston Marriott Marquis. If the Houston Marriott Marquis is booked, please email meetings@ascpt.org.

Yes. To get a confirmation receipt up to 30 days out, email meetings@ascpt.org. Within 30 days of the Annual Meeting, please contact the Houston Marriott Marquis at (713) 654-1777  

Please contact the Houston Marriott Marquis at (713) 654-1777 to cancel your reservation. Registrants are responsible for cancelling their hotel reservations and travel arrangements. ASCPT is not responsible for any fees incurred due to cancellations.

No, ASCPT does not provide local transportation to and from the airport. Additional information about transportation services and hotel parking is online at https://www.ascpt.org/Meetings/Annual-Meeting/Hotel-and-Travel-Information. ASCPT does not reimburse for 1-day parking.

No, ASCPT does not provide childcare or spouse programs. The ASCPT Annual Meeting is geared toward adult participation. For their safety, children under the age of 16 are not permitted to attend any portion of the Annual Meeting, including but not limited to, educational sessions, networking and social events, and the exhibit hall.

Please visit the concierge at the Houston Marriott Marquis for their recommended babysitting services.

Programming

 

ASCPT will provide each attendee three total breakfast and three total lunch vouchers for use on Thursday, Friday, and Saturday. Vouchers may be used at the outlets listed below. Vouchers include tax and gratuity but may not be used toward the purchase of alcohol.

Poster Presentations

 

The primary author is designated as the presenter. If for any reason the presenter is unable to attend the meeting, a substitution can be made if that person is already listed as an author on the abstract. The replacement presenter must be registered for the Annual Meeting. To make a substitution, please email meetings@ascpt.org.

Author names cannot be added or removed from the abstract once it has been submitted, reviewed, and/or selected for presentation.

Only the primary author may withdraw an accepted or submitted abstract with consent of all authors. Requests for withdrawals must be in writing to meetings@ascpt.org. If the abstract is withdrawn before the Final Program is printed, it will not appear in the Final Program. If the abstract is withdrawn after the Final Program is printed, the withdrawal will be reflected in the mobile app as well as the online March Supplement to 
Clinical Pharmacology & Therapeutics.

 

 

ASCPT is not responsible for shipping and handling of posters to and from the meeting. Shipping should be handled by the presenter. Please ship to yourself as a guest of the Marriott Marquis Houston on the specific day. Note: local handling fees may be applied by the local carrier.

Posters that are left in the hall after the removal time will be discarded. ASCPT does not have the capacity to store these posters on-site.

Please send an email to Diana Tsuji (diana@ascpt.org) or Nicole Rockman (nicole@ascpt.org) for on-site speaker issues, as well as your session chair(s). This policy holds true for all educational sessions, including Pre-conferences and Special Sessions.

Efforts will be taken to update the 2020 Annual Meeting mobile app and website with any speaker changes.

Please go to the Speaker Ready Room on-site at the Houston Marriott Marquis at least 4 hours prior to the start of your scheduled presentation. The A/V staff will be able to assist you and you can review and revise your slides in advance of your session. The Speaker Room is in the David Mitzner Room.

All attendees must be registered for the Annual Meeting and display a name badge for safety. Guest passes are not available.

Exhibitors

Yes, you must register to have access to the exhibit hall. For security reasons, all attendees and exhibitors must wear their badge at all times for admission to sessions, posters, exhibits, and social events. If you represent an outside contractor hired by an exhibitor, you are still required to check-in and out at the onsite registration desk.

Yes, exhibitors should be present by 5:00 PM and until 7:00 PM on Wednesday, March 18, 2020. Exhibitors should plan to staff their booths during all posted Exhibit Hall hours.

A complimentary pre-show mailing list was sent to the exhibitor’s main contact in February. It does not include emails per ASCPT Board of Directors policy and is granted as a one-time only list. Email marketing options are available for purchase through our only approved vendor, Event Technologies.

ASCPT 2020 Annual Meeting Online Evaluation

The evaluation will be available through the Annual Meeting mobile app and is available March 21, - April 20, 2020.

Please complete the ASCPT 2020 Annual Meeting evaluation via the Annual Meeting mobile app. The evaluation will also be available at www.ascpt.org following the Annual Meeting. Upon completion of the online evaluation, you will receive a Certificate of Attendance via email.

Upon completion of the online evaluation, you will be entered into a drawing for a complimentary registration to the ASCPT 2021 Annual Meeting in Washington, DC on March 10 – 13, 2021. In order to enter your name in the drawing for a complimentary registration to the ASCPT 2021 Annual Meeting, you must complete the evaluation and indicate your interest.
